PROGRAM ASSURANCE

Programs and projects by their nature present unique challenges and issues.  Many organizations only find out how things should be done after mistakes have been made.  This has implications for both the delivery and cost of the project.  Ideal Health IT can bring extensive lessons learned and experience to guide and assure your program and project.

At the start of a program it is important that you have in place:

  • A structure for managing the program
  • Clearly defined governance arrangements
  • Clearly defined decision making process
  • Reporting details, dates and responsibilities
  • Arrangements for control of activities and projects

As the program progresses you will need:

  • Advice and guidance on program management and structure
  • Proactive checking of your progress against targets
  • Independent reviewing of key documents before general release to protect against potential mistakes and omissions
  • Project and program resourcing issues addressed ahead of time so that shortfalls are not an impediment to progress

Ideal Health IT will provide a senior program executive to act as a point of reference for your program or project team.  They will have extensive experience in managing similar Clinical Information System programs and be able to guide you on all aspects of successful Clinical System program management.  Your program executive would normally work with you for two to five days initially to set up the program and then on a regular basis throughout the project between two to ten days per month for review meetings and specific activities.

Their responsibilities would include:

  • Provision and tailoring of initial toolkit for the program or project
  • Regular contact with the program and project managers
  • Monitoring the progress of the project against specific milestones
  • Acting as a point of reference for the program or project manager
  • Document review
  • Providing additional services as required
  • Proactively advising on strategies for service/program improvement

If additional or specialist resources are required then your program executive can access people with specific skills such as interim project managers and functional workstream leads, expert reviewers and clinical leads. By adopting this approach the you will have a clear strategy of assurance and measurable benefits realization.  Potential challenges will be identified sufficiently far in advance to prevent them becoming an issue and lack of capability or capacity will not be a barrier to progress.
