Program Management

PMO SETUP & PROCESS DEFINITION

With multiple projects to run and control, healthcare providers face issues such as escalating overhead costs, poor governance, duplication of effort and lack of coordination between projects.  A Program Management Office (PMO) seems an attractive solution and is popular but healthcare providers often do not have any experience of setting them up or running them.

A badly set up PMO will fail to alleviate the issues it attempts to address and can add unnecessary bureaucracy to what is already a challenge on time and capability.  This impacts both the cost and productivity of projects and can delay entire programs and increase the risk of cost overrun.

You need to know that your new PMO will:

  • Reduce costs
  • Increase the number of projects completing within time and budget
  • Fit within the profile and culture of your organization
  • Improve program and project management control and governance
  • Introduce and maintain program and project management standards
  • Transfer lessons learned between projects
  • Encourage continuous improvement

Ideal Health IT works with you in a number of ways including providing advice and guidance, training your current project support staff to taking responsibility for your organization’s PMO set up and process definition.  These services ensure that your PMO is set up in a way that will benefit your organization and improve program and project success.

We provide an experienced Ideal Health IT PMO specialist to complete a current state assessment and requirement specification.  The specialist then engages with program and project staff to validate the proposed solution and define an action plan to implement the appropriate PMO structure.

This would cover:

  • Current state analysis
  • Current program and project management documentation
  • Inter-department organization and dependencies
  • Key Performance Indicators and Service Level Agreements
  • Set up of all key processes and procedures to govern the management of the project
  • Establish formal mechanisms for approvals, budgeting and reporting
  • Establish a formal Communication plan
  • Coordinate staff allocation and departmental restructuring
  • Establish Staff training and development directives

By taking advantage of the Ideal Health IT PMO methodology, you will gain control over the budgeting, resourcing and performance management of programs and projects.  You will have a clear overview and visibility of all the concurrent and consecutive projects allowing the efficient cost effective use of resources and economies of scale.  Risks will be managed and budgets maintained.

Some clients prefer to take responsibility for the set up of the PMO themselves but don’t have staff with previous experience of doing so effectively.  Ideal Health IT therefore offers a choice of training courses to enable your existing staff to manage and work effectively within your established PMO framework.  Ideal Health IT provides individually customized solutions to assist Healthcare organizations with effective Program Management and other functional workstreams in a systems implementation program.  We also provide solutions focusing on overall Service Improvement, restructuring and cost savings.
