PROCESS MAPPING & DESIGN

In order to assess the impact of clinical and business change on an organization it is critical to have an accurate picture of current activities and to clearly document the pre and post implementation processes. Healthcare organizations run the risk of not realizing some of the existing activities that are undertaken and therefore not being able to provide all of the services currently being delivered. If this activity is not done well there may be a damaging effect on system build and negative impact on the scope of activities such as testing and training. Healthcare organizations who have not undertaken this essential activity correctly have been burdened with costly change requests and project delays.

Consulting

Ideal Health IT will assemble a team of Business Analysts with the specialist knowledge of your system and care setting.  The team will engage with operational staff to map and document current processes at the beginning of Stage 3. They will liaise closely with your project staff to incorporate change decisions and new functionality provided by the new system. The ‘as is’ and ‘to be’ processes will be documented and designed. You will then be able to incorporate these changes into the design of their system build, testing and training. A consulting presence will remain on site until post go-live to ensure that changes are managed in a systematic way through to the return to Business as usual under the new business and clinical processes.

By adopting this approach the you have assurance that all aspects of the mapping, design and documentation of processes is correct and costly change requests and poor clinical builds can be avoided. Staff will have been consulted throughout the process and will feel involved and informed.

Training

Ideal Health IT has experience of offering an ‘Introduction to Clinical and Business Change Training Course’ aimed at staff who are new to producing and maintaining process documentation. The course covers:

  • Using Microsoft Visio
  • Running effective operational staff and managers change workshops

A half day workshop is an alternative option for healthcare organizations that wish to engage in a proactive and positive way with operational staff and managers. The workshop ensures that participants are fully engaged with the change management process and covers:

  • The roles and responsibilities of staff
  • Walk through of current activities and patient scenarios
  • Agree sequence of events and outcomes
  • Relationships between processes undertaken by different staff roles
